What Is Appointment Readiness?

Appointment readiness means having every document, form, and requirement completed before appointment slots become available. When VFS Global or TLScontact release new Schengen visa appointment dates, they often fill within minutes. If you are not fully prepared, you will lose your slot to someone who is.

Being ready is not just about having your passport and photos. It means your cover letter is written, your travel insurance meets the minimum coverage, your bank statements are within the required date range, your accommodation bookings are confirmed, and your application form is completed without errors.

How VFS and TLScontact Booking Works

Most Schengen countries use either VFS Global or TLScontact as their visa application centre (VAC) partner in the UK. These centres handle appointment scheduling, document collection, and biometric capture on behalf of the consulates.

VFS Global

Used by France, Germany, Italy, Spain, Netherlands, and many others. Appointments are booked through the VFS website after creating an account and completing the online application form. Slots are released periodically, often early in the morning.

TLScontact

Used by Belgium, Switzerland, Portugal, and others. Similar process to VFS but with a different portal. You must create an account, submit your application details, and then select an available appointment date.

Regardless of which centre handles your application, the principle is the same: when slots open, the applicants who are fully prepared book first.

When Do Appointment Slots Open?

There is no fixed, universal schedule. Each country and each VAC centre releases slots on its own timetable. However, there are patterns that experienced applicants follow:

  • Slots are often released in batches, covering 2-4 weeks of dates at a time.
  • Many centres release new dates between 6:00 AM and 9:00 AM UK time.
  • Peak travel seasons (summer, Christmas) see the fastest slot uptake.
  • Some centres release slots weekly; others do so monthly or irregularly.
  • Cancellations can free up individual slots at any time during the day.

How to Be Fully Ready

Follow this preparation checklist to make sure you can book and attend your appointment without delays:

Complete your application form

Fill out the Schengen visa application form accurately. Double-check spellings, dates, and passport numbers.

Prepare your document pack

Gather all required documents including passport copies, photographs, travel insurance, bank statements, accommodation bookings, and employment letter.

Write your cover letter

A clear, well-structured cover letter explains your travel purpose and strengthens your application.

Verify insurance requirements

Ensure your travel insurance provides minimum 30,000 EUR coverage, covers the entire Schengen area, and is valid for your travel dates plus a buffer.

Check bank statement dates

Your bank statements must be recent, typically within the last 3 months. Ensure they show sufficient funds for your trip.

Create your VAC account early

Set up your VFS or TLScontact account well in advance. Complete the online form so you are ready to select a date the moment slots open.

Common Mistakes That Cost You Your Appointment

Waiting until you have an appointment to prepare

Many applicants book a slot first and then scramble to gather documents. If you cannot attend fully prepared, you risk rejection or having to rebook.

Using expired or incorrect documents

Bank statements older than 3 months, passport photos that do not meet ICAO standards, or insurance that does not cover the Schengen zone will cause delays.

Applying through the wrong consulate

You must apply to the consulate of your main destination. If you are visiting multiple countries, it is the country where you will spend the most nights.

Not having a backup date

If your preferred date is taken, having flexible travel dates means you can still secure a slot instead of waiting for the next release.

Ignoring the online form

The VFS or TLScontact online form must be completed before you can book. Filling it in at the last minute leads to errors and missed slots.

Recommended Preparation Timeline

We recommend starting your preparation at least 8 weeks before your intended travel date. Here is a realistic timeline:

8 weeks before

Research consulate requirements for your destination. Determine which VAC handles your application. Take the free readiness check.

6 weeks before

Begin gathering documents: passport, photographs, bank statements. Request an employment letter from your employer.

5 weeks before

Purchase travel insurance that meets Schengen requirements. Book refundable accommodation and flights (or obtain reservation confirmations).

4 weeks before

Complete the application form. Write your cover letter. Create your VFS or TLScontact account.

3 weeks before

Have your documents reviewed (DIY self-check or expert review). Correct any issues. Organise your document pack in the required order.

2 weeks before

Monitor for appointment slot releases. Book the earliest available date. Print all documents and prepare your appointment pack.

1 week before

Final review of all documents. Confirm appointment details. Prepare for biometric capture at the VAC.
